This Privacy Policy explains what information the Permit Copilot platform (the “Service”) collects, how we use it, and the choices you have. By using the Service you agree to the practices described here.
Permit Copilot is decision-support software. It does not issue, approve, or deny permits, and it does not replace review by jurisdiction staff or constitute legal advice.
01Information we collect
Account information
When you sign in, our identity provider supplies basic account details such as your name, email address, organization, and role. We use these to authenticate you and scope your access.
Project and document content
We store the projects, addresses, documents, and other information you submit in order to provide the Service, including required-document checklists, clearances, findings, and readiness analysis. Uploaded documents are stored as files behind access-controlled storage.
Usage and activity
We record activity needed to operate the Service and maintain an audit trail. For example, events, notifications, and audit-log entries tied to material actions. We may also collect standard technical data such as log and device information.
02How we use information
- To provide, maintain, and secure the Service;
- To generate rule-based readiness, requirements, clearances, and findings;
- To provide AI-assisted analysis and answers, always subject to human review;
- To maintain an audit trail and support governance and tenant isolation;
- To communicate with you, including in-app notifications; and
- To comply with legal obligations and enforce our Terms.
03Automated and AI processing
Some features process your content with automated rule engines and AI models to produce analysis and suggestions. Deterministic results are computed by our own engines. Where a third-party model provider is used, only the content necessary for the request is sent, and AI output is labeled and subject to human review. The Service does not make final permitting decisions.
05Data retention
We retain information for as long as needed to provide the Service, maintain audit and governance records, and meet legal obligations.
06Security
We use administrative and technical measures to protect information, including access controls, tenant isolation for real organizations, and access-gated file storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
07Your choices and rights
Depending on your location, you may have rights to access, correct, export, or delete personal information, or to object to or restrict certain processing. To make a request, contact us using the details below. You can also stop using the Service at any time.
08International users
The Service may be operated from, and information processed in, jurisdictions that differ from your own. Where we transfer information, we take steps to protect it consistent with this Policy and applicable law.
09Children’s privacy
The Service is not directed to children and is intended for use by adults acting in a professional capacity. We do not knowingly collect personal information from children.
10Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
